Your privacy is of utmost importance to us. This Privacy Policy details how we collect, use, disclose, and protect your information while you interact with our bot, PhoneBooth, on Discord. We urge you to read this policy carefully. By continuing to use PhoneBooth, you acknowledge and agree to the collection and use of your information as described herein. If you do not agree with these terms, please discontinue use of the bot.

1. Information We Collect

We only collect the necessary information to provide and improve the service:

  • User ID: The unique identifier assigned to you by Discord, used to manage calls and cross-server communication. We store User IDs only if a message is reported. This data is kept for up to 30 days and deleted once the report is resolved or escalated.
  • User Name, Server Nickname, and Display Name: Your Discord name is used during calls for identification purposes. This information is sent via webhooks and is only stored if a message is reported.
  • Avatar Image: Your Discord avatar is used during calls for identification purposes and to ensure no inappropriate avatar images are involved. It is also used to provide a good user experience. This data is only stored if a user reports a message and will be deleted within 30 days after the report is resolved or escalated.
  • In-Call Messages: Messages sent during calls are transmitted to the connected server for communication. These messages are processed in real-time during calls but are not stored beyond the duration of the call unless reported.
  • Server Name and Server Image: For servers that appear in the top 10 most active servers leaderboard (accessible via the c.leaderboard command), we collect and store the server name and server image/icon.

We do not collect any other information beyond what is stated here.

2. How We Use Your Information

Your data is used solely for the following purposes:

  • To Provide and Maintain the Service: Facilitate cross-server calling and manage user information during calls.
  • To Improve the Service: Use feedback to enhance features.
  • To Ensure Safety: Investigate and address reported issues, using temporary data storage.
  • To Ensure Security: Monitor usage to detect and prevent fraudulent or abusive behavior.
  • To Display Leaderboards: Publicly display the top 10 most active servers with their server information in the c.leaderboard command.
  • For Legal Compliance: Data may be used for auditing purposes, to comply with legal obligations, or to respond to valid legal requests.

3. How We Share Your Information

We prioritize your privacy and do not sell or trade your personal information. We may share data only in these cases:

  • With Trusted Service Providers: Third-party providers (e.g., hosting and security services) who assist with operating the bot. All third parties are bound by confidentiality agreements.
  • When Required by Law: To comply with applicable laws or respond to valid legal requests.

4. Data Retention

We only retain your information as long as necessary:

  • In-Call Messages: Not stored unless reported. Reported messages are kept for 30 days before being deleted.
  • User Information (ID, Names, Avatars): Retained for 30 days if a message is reported. This data is deleted once the report is resolved.
  • Server Information (Name, Image): For servers displayed in the top 10 most active servers leaderboard, server names and images are retained as long as the server remains in the top 10 rankings.

5. Security of Your Information

We implement industry-standard security measures to protect your data:

  • Encryption: All data transmission is secured (e.g., TLS/SSL).
  • Access Controls: Only authorized personnel have access to user data.
  • Data Minimization: We only store the minimum data required.
  • Regular Audits: Our systems are regularly reviewed to identify and address security vulnerabilities.

While we make every effort to protect your data, no system is 100% secure. In the unlikely event of a breach, we will notify affected users in compliance with applicable laws.

6. Your Rights

Depending on your location, you may have certain rights over your personal data:

8. Children's Privacy

PhoneBooth is not intended for users under the age of 13 (or the minimum age in your jurisdiction). We do not knowingly collect information from children. If we become aware of data collected from a child, we will delete it promptly.

9. Changes to This Privacy Policy

We may update this Privacy Policy occasionally. For significant changes, we will notify you at least 15 days in advance via Discord server announcements or direct messages. You can view the version history of updates in the changelog.
